Job Details
Summary: The Senior Executive Assistant will provide executive administrative support for the Executive Vice President, General Counsel and Legal department. This role will have a wide range of executive assistant responsibilities, that include managing schedules, travel, expenses, preparing reports and presentations, and handling correspondence and inquiries. In addition, this role will support department wide initiatives and projects across the legal function.
Responsibilities:
Provide Executive Administrative Support
- Manage and coordinate EVP calendar and proactively balance priorities and deadlines
- Schedule internal/external meetings, coordinate resources, prepare materials, set-up meeting room, accommodate changes and requests, ensure schedule aligns with priorities, and that leadership has necessary materials for meetings
- Arrange and book travel, prepare detailed itineraries and handle necessary arrangements
- Partner with event services for internal and external meetings
- Develop presentations and materials per Executive’s instruction
Legal Function Support
- Create, prepare, format and proofread correspondence, presentations and reports
- Process bi-weekly payroll and PTO
- Support onboarding new hires; submit ServiceNow ticket for orientation and equipment, ensure equipment/access/desk is set-up, order supplies and welcome materials, schedule onboarding meetings, act as support during onboarding
- Draft and communicate internal policies, procedures, announcements, etc.
- Process invoices and expense reports
- Assist with department related activities and projects as necessary; annual policies & acknowledgements project, Board of Director meeting, Proxy season, Litigation Summary in conjunction with attorneys
- Assist in development of presentations and materials for board meetings and leadership meetings
- Assist with day-to-day activities of the department, as needed
Additional
- Publish meeting minutes
- Manage confidential and non-routine information
- Act as subject matter resource for executive, department, and external partners
- Partner with other administrative support teams
- Provide coverage to other Executive Administrative Assistants
Qualifications
- 4 - 6 years of experience supporting executive level ("C Level" desirable)
- Bachelors degree preferred; or relevant experience
- Proficiency with all Microsoft Office applications. Advanced PowerPoint skills a plus.
- Exceptional organizational, interpersonal, and communication skills
- Experience working with highly confidential information
- Must be a team-oriented professional who can handle multiple projects in a fast-paced environment
